Administrative Sales Assistant

Job Description:

The Administrative Sales Assistant will act as the right hand to the Chief Revenue Officer, supporting him in the areas of calendar coordination and all administrative duties. This individual will also work closely with the head of Ad Sales and Network Development, completing research projects and providing regular industry reports that will aid in the sales process.

Job Responsibilities:
  • Managing calendars via Microsoft Outlook
  • Provide assistance to the Office Manager in creating effective office procedures (e.g. phones, admin backup coordination, etc.)
  • Answer phones and arrange outgoing calls
  • Prioritize meetings requests
  • Ensure conference calls and meeting participation
  • Plan and coordinate travel
  • Process expenses and track expense reports
  • Create and maintain file of executive’s correspondence, records, etc.
  • Provide support to members of the management team as needed
  • Distribution of weekly / monthly meeting reminders
  • Coordinate conferences, offsite meetings, etc.
  • Create presentations and spreadsheets / maintain various documents as needed
  • Assist in the maintenance of databases, as required
  • Record and keep track of time for managers
  • Input and track invoices to be paid for department
  • Assists with ad-hoc reports and special projects
  • Plan, coordinate, and initiate conference call for meetings
  • Assist with archiving files as needed
  • Perform other related duties as requested
Qualifications:
  • 3+ years of sales support experience
  • Excellent research capabilities, particularly online
  • Excellent verbal and written communication skills
  • Efficient in the use of all software programs in the Microsoft office suite (Word, Excel, and PowerPoint)
  • Proficient in the functionality of Microsoft Outlook
  • High aptitude to learn other applications (Expense Report system, Time and Attendance, Salesforce, etc.)
  • Detail-oriented with excellent organizational skills
  • Ability to prioritize and thrive in a fast-paced environment
  • Flexible and willing to handle last-minute changes and issues as they arise
  • Strong work ethic and sense of professional demeanor
  • Confidence and ability to handle deadlines and pressure calmly
  • Experienced in managing complex calendars and travel itineraries
  • Ability to handle confidential information with the utmost discretion
  • Excellent time management and interpersonal skills
  • Ability to work on multiple tasks simultaneously
  • Ability to anticipate scheduling conflicts and recommend solutions
  • Ability to work independently
